The Scholarship Unit Processor will provide customer service, data entry, and financial aid processing and review services to the Financial Aid Office Scholarship Unit. Main responsibilities include answering student and parent questions; data entry, aid processing; review and process reports and scholarship documents; coordinate receipt of scholarships; and assist with audits.
Manage scholarship email box and phone line:
- Provide quality customer service, professional and articulate correspondence, and accurate guidance based on aid regulations and TU policies.
- Apply critical thinking skills to identify and request the appropriate documentation needed to fulfill scholarship aid application and aid program requirements.
Maryland Higher Education Commission (MHEC) Duties:
- Download weekly award and verification files.
- Review incomplete for Certification Roster, notify MHEC of delinquent ISIR uploads.
- Review Non-Resident Nursing majors for out of state tuition.
- Review MHEC study abroad query.
- Check previous semesters for new awards after certification ends.
- Receive Edward Conroy applications.
- Collect, scan, and complete checklist for Drug Free Forms and other MHEC processes.
Eligibility review and awarding for additional grants, scholarships, and tuition waivers:
- Ensure appropriate documentation is received for awarding grants, scholarships, or waivers.
- Verify that students are enrolled and meet posted criteria.
- Work with other departments to facilitate scholarship processing and assist students with other concerns.
Scholarship Appeals Imaging and Indexing:
- Scan incoming documentation into ImageNow imaging system and index appeal requests, supporting documentation, and scholarship letters electronically.
- Notify committee of new appeals and supports provided by students and departmental faculty and staff.
- Notify students of appeal decisions via email.
Review scholarship checks and submit appropriate checks to Student and University Billing Office:
- Review College Bound Last Dollar Grant students for aid changes.
- Review Unaccompanied Homeless Youth/Foster Care Waiver students for mini and summer enrollment, and update entry page.
- Make changes and prepare batch files for scholarship entry page.
- Complete miscellaneous expense voucher forms. Receive and collect appropriate documentation for scholarship appeals and send to ImageNow.
DCTAG and TEACH Grant:
- Review DC Tuition Assistance Grants (DCTAG) tuition and fee amounts, confirm payments of full-time tuition and fees, and accept DCTAG Award letters.
- Accept TEACH Grant academic advisor acknowledgement forms and update spreadsheet.
- Send monthly TEACH Grant reports to the College of Education to verify enrollment data for new applicants and current recipients. Review TEACH Grant recipient majors biweekly.
Institutional Scholarship Credit Completion:
- Run files for credit completion, GPA, and minimum enrollment review processes.
- Run Internal Control Queries and disseminate workbooks to advisors.
Special Scholarship Opportunities:
- Collect and organize scholarship applications for special scholarships.
- Assist in the application review process.
- Notify applicants of awarding decisions.
- Other duties as assigned.
Telework may be available for this position up to two days per week following the completion of 90 days of service in good standing.
Required:
- High School diploma or equivalent.
- Three years of experience providing administrative support.
- Excellent customer service and communication skills.
Preferred:
- Experience working in a financial aid office processing or answering questions about student financial aid.
Except for qualifications established by law, additional related experience, and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
