Job Description

Montgomery College, Workforce Development and Continuing Education (WDCE), has an immediate need for a Full time Financial Records Assistant at the Rockville Campus. The work schedule is Monday-Friday, 8:30am-5:00pm. This is a Bargaining, Non-exempt, Grade 17 position. Non-exempt positions are not eligible to work a secondary job at Montgomery College. The Financial Records Assistant is responsible for generating, tracking, preparing worksheets, posting and reconciling financial transactions for the department of Workforce Development and Continuing Education. This includes but is not limited to invoicing for contract training delivered. The ability to generate, review, and understand financial documents for completeness in order to prepare and process invoicing and receivables is an essential skill for this position. Provides daily support and assistance for revenue generating activity for the unit including Training Agreements. Communicates with program managers, clients, and other college departments in daily job functions in a timely, clear and organized manner including notification of financial deadlines. Ensures and follows policies and procedures for record keeping and organization of financial records. Duties are performed under general supervision from unit fiscal supervisor.

Duties include but are not limited to:

• Verify data on transaction documents by checking authorizations and account codes; calculating subtotals, totals, discounts and percentages and initiate payment actions.
• Enter data from transaction documents into automated or manual accounting records.
• Update, edit and correct computerized data files and produce computer printouts.
• Reconcile account records.
• Compile data from account records to prepare summaries, lists and similar reports.
• Maintain manual and/or automated financial, accounting, personnel and other administrative and management files and records.

Required Qualifications:

• High school diploma/GED supplemented by college level courses, experience or training in bookkeeping, accounting, business or related field.
• The equivalent combination of education, training, certification and/or experience that provides the required knowledge and expertise to perform the essential functions of the job may be considered.
• One year related work experience.
• Knowledge of office procedures and practices as applied to the provision of general office services.
• Familiarity with bookkeeping and financial practices.
• Knowledge of business English, spelling, grammar and conventional styles and formats used in office communications.
• Eligible applicants must currently be authorized to work in the United States and not require employer visa sponsorship.

Preferred Qualifications:

• Experience working in a higher education office environment.
• Experience working with software used by higher education institutions (such as Outlook, MS office applications, databases, and Banner).
• Experience working in a financial setting and processing revenue generating activity in a high volume setting with emphasis on accuracy and organization.
• Experience working in a diversified setting, with the ability to multitask and prioritize job duties with attention to detail in a deadline driven office environment.

Hiring Range $19.46 to $24.32 per hour. Initial salary placement is based on candidate experience and internal equity. Please include a complete resume including all relevant and related work experience.
