The HARBORVIEW MEDICAL CENTER OPERATING ROOMS have an outstanding opportunity for a FULL-TIME DIRECTOR OF SURGICAL SERVICES BUSINESS OPERATIONS (Day Shifts). The Director of Surgical Services Business Operations is responsible for the business operations in the Surgical Services division. Under general supervision, the Director oversees the business functions of the surgical services department including budgetary oversight, monitoring the revenue cycle process including denial management in collaboration with revenue cycle management, labor productivity oversight, KRONOS management and EPIC implementation. This position will also be responsible for overseeing the Patient Care Coordinator (PCC) Supervisor and the Patient Care Coordinators, OR Schedulers, OR Billing Staff, Inventory Management Supervisor and related and other assigned staff. The Director performs specific leadership functions related to surgery scheduling, billing, and PCC education and management. The Director is responsible for strategic planning and policy development related to scheduling, billing, and finance at the Department level. This position provides leadership for departmental activities that promote delivery of quality care and service, effective problem solving, communication, and professional development for self and others. The Director will serve as a role model and provide guidance to staff, including performance review and evaluation of performance.
DUTIES AND RESPONSIBILITIES:
Business Operations: • Provide leadership and direction for daily business operation activities in conjunction with the Assistant Administrator, managers, and supervisors • Strategic planning with Assistant Administrator • Departmental policy development and execution • Competence of assigned staff • Development of departmental capital and operational budgets • Analysis of monthly budget variance reports • Mitigation of spending overages • Oversight of inventory functions • Manage resources effectively to cover priority needs
Billing: • Responsibility for all surgical services billing practices and procedures • Ensure all surgical services billing completed in an accurate and timely fashion • Responsibility for departmental adherence to billing compliance standards and the reporting deviations
Scheduling: • Responsibility for oversight of all scheduling functions from clinic PCCs to surgical scheduling PCCs • Ensure proactive identification of scheduling problems • Responsibility for collection and organization of data to evaluate and optimize surgical scheduling operations
Regulatory Management: • Identify and report all safety related issues • Take lead role in response to emergency situations and drills • Intervene to address illegal/unethical/unprofessional practice of any member of the healthcare team • Initiate, implement, and evaluate appropriate CQI activities in the Department • Review incident reports, complaints, and other unanticipated events and initiate action plans as needed • Ensure a safe environment that compels compliance with regulatory agencies, laws, and standards • Play lead role in the preparation and process of regulatory surveys
Human Resources Management: • Monitor staff performance, consistently complete annual evaluations and competencies • Mentor, coach, train, and develop leaders • Monitor the time sheets for assure accuracy, approval, and timely submission • Review staff requests for time off including vacation and CE requests and ensure appropriate coverage • Follow medical center hiring policies and procedures to fill vacant positions • Create an environment that is conducive to staff support, growth, and satisfaction • Maintain all personnel files, leave records, etc. for employees
Administrative: • Ensure that Surgical Services business issues are addressed in the development of larger HMC policies, procedures and standards • Ensure HMC participation in Leapfrog and other data registries • Participate in Surgical Council and Surgical Services Operations Committee
DESIRED: Experience with EPIC system, experience with managing surgical scheduling for large OR system with trauma population.
