As a member of the Grants Team in the School of Medicine Office of Research Administration (ORA), the Grants Associate is responsible for review, problem resolution and institutional approval/ signature for grant and incoming subgrant applications and awards. This a primarily pre-award position reporting to the Associate Director of Grants. The ideal candidate will be a self-motivated, team-oriented person who thrives in a fast-paced, deadline-driven work environment.
Specific Duties & Responsibilities
Manage the grants process from proposal initiation, amendments/updates, through closeout for assigned departments/divisions.
Conduct specialized and ad-hoc training courses for departments as needed.
Assist faculty and departmental staff with use of grant-related electronic submission sites and databases such as COEUS, Grants.gov, eRA Commons.
Remain informed and up-to-date concerning events, regulations and changes that affect sponsored projects.
Know and understand sponsor and University policies. Interpret guidelines and assist in applying them to specific applications, awards and issues. Serve as resource for sponsored projects questions.
Maintain positive and productive relationships with faculty, staff, students and sponsor contacts.
Other duties as assigned by supervisor.
Communicate with faculty and staff to provide instruction, assistance and advice on grant preparation and administration and to request corrections and resolve discrepancies.
Review, approve and submit grant applications to government and nonprofit sponsors, EXCEPT cooperative agreements and multi-project grants.
Review and approve incoming subaward applications, except those under prime awards from commercial sponsors or federal contracts.
Review, approve and submit Just-In-Time, pre-award account and other prior approval requests and documents.
Work collaboratively within the Office of Research Administration as well as with other central University offices, other academic institutions, and sponsors.
Review, negotiate and accept grant awards and agreements on behalf of the University.
Working with compliance, technology transfer, general counsel and sponsors to resolve any conflicts regarding award terms and conditions.
Request and process certification of human subjects and/or animal approvals from IRB and IACUC offices.
Process sponsor prior approval requests and administrative updates, such as relinquishments, carryover, effort reductions, etc.
Minimum Qualifications (Mandatory):
Minimum of three years of experience in research administration, one year of which is in a sponsored research environment
Additional experience may be considered in lieu of education, based off the JHU Equivalency Formula:
JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. *
Some familiarity with legal principles of negotiation and grant administration.
